Mobile devices such as smartphones and tablets are all around us. Employees tend to use their smartphones for personal as well as for business tasks and needs. Tablets are also becoming something usual at an office environment. Overspending time with smartphones can hinder productivity.
Below are presented 4 tips that employees should follow in order for their mobile devices to help their productivity.
- Find the right tool for the task – there are many mobile devices and they are not equal. They differ in terms of performance, size, operating system and others. Mobile devices may not be suitable for long-term or very detailed work but they are suitable for reading and sending emails, using search engines for work, viewing files and documents or using collaboration tools. Employees can make the most of their mobile tools if they are provided with the proper tools and apps to do that. They should not be asked to learn to use multiple devices or programs, just what is suitable for their position.
- Set limits – mobile devices allows to employees to access work related emails and apps at any time and any place where they have access to internet connection. This fact may cause them to burn out if they are constantly expected to read and respond to emails, to reply to messages that pop up from messengers and so on. There should be some limits set when employees are expected to use work related apps so that they can keep good work-life balance and be able to relax from work and be productive when they have to work .
- “Face-first” policy should be applied – emails are inevitable part of business life. However, employees may be overloaded with emails and this may cause them to miss an important email that is hidden among the many other emails. Face-to-face communication should be applied whenever possible. If two coworkers are sitting close by, it may be better for them to just chat with each other and they may get the job done faster. Of course, this all depends on the office space and the other employees nearby because if everybody starts talking it will cause a mess. Still, face-to-face is a better way for communication when it can be applied.
- Flexibility should be encouraged – mobile devices can also help employees to do part of their work from different places such as home or even at the beach. As long as they have access to the right tools and apps and they are not required to meet somebody in person, they can work some days out of their office space. This will increase their motivation and productivity.
